Perform the steps in the order listed. Steps 1. Part 1 – PPT Project Instructions Create a new PowerPoint presentation file on your PC (or flash drive) named 18PR_ppt_LastFirst, where LastFirst is your actual Lastname and Firstname (For example, if your name is Mary Smith, you will name the file 18PR_ppt_SmithMary) Points 1 TOPIC for PowerPoint Project è Check with your Instructor 2. 3. Some rules to follow in creating your presentation along with some suggestions: a. Do not use foul language (keep it clean) b. Do not make sexual innuendoes c. Keep it “G-rated” (something you could have kids to read) d. Try to “teach” or “inform” Presentation should contain no less than 10 and no more than 20 slides. 1 1 Use a template or a theme. 4. 5. For Templates: Click on File/New, and then you can select PowerPoint presentations and slides, Sample Templates, or you can enter a module in the “Search Office.com for Templates” box to search for various templates (though that will also give you invitations, and all sorts of other things) Use at least 3 slide layout choices. You must use at least: a. 1-Title Slide (this is to be your first slide) b. 1-Title and Content Slide 1 2 c. 1-Two Content Slide (any type of two content slide) 6. Follow the 7 x 7 rule a. 7 x 7 rule means do not exceed 7 words per line, and 7 lines per slide. b. Follow the rule for the most part (exceptions here and there are fine). 1 7. Adjust font sizes and colors as appropriate. It should be easy to read. For example, do not use a yellow font on a white background. 1 Page 1 of 20 Steps 8. Part 1 – PPT Project Instructions Points Create an Overview slide. That is, after the first slide (title slide), the next slide should be titled Overview. It should contain a list of all the slides in your presentation. This gives the audience an overview of the presentation. 1 Add speaker notes to your Overview slide. 9. 10. Remember, this is why the 7×7 rule works. Use speaker notes when you want to convey more information than is on the slide. Print using Notes Pages, and then make sure and “talk” about “your notes” during your presentation! Using Graphics Effectively: a. Insert at least 1 “Online Picture” and resize (if necessary) b. Change the Picture Style of the picture! 1 2 Insert a shape into a slide b. Enhance your shape by adding color and using a shape style. c. Part 2 – WORD Project Instructions Create a new Word document on your PC (or flash drive) named 18PR_word_LastFirst, where LastFirst is your actual Lastname and Firstname (For example, if your name is Mary Smith, you will name the file 18PR_word_SmithMary) Points 1 Enter the following text into your empty, newly created Word file: 2 20. Press [Enter] key here Insert a Footer into the document with Your Name in the left section, today’s date in the center (choose any style but make sure it is NOT automatically updated) then, tab to the right section and insert a Page Number in the Current Position, choosing Accent Bar 1 style (see image below). 21. Note: It is very important to choose Current Position after you select the Page Number drop-down arrow. 2 Add 4 blank lines into your file as follows (see image below): a. Move your cursor to the end of the second paragraph, Part 1: PowerPoint, and then press Enter to add a new blank line. b. Add three more new blank lines by pressing Enter after the following three paragraphs: Part 2: Word Part 3: Excel Part 4: Access 22. Move your cursor to the top of the document by pressing Ctrl-Home and then Enter to create a new blank line at the top of the file. b. Enter the following data into cell range A1:F7 into Sheet1 worksheet of your empty, newly created Excel file b. AutoFit the column width for columns A through F Note: to AutoFit the columns, do not use the AutoFit Column Width menu option under Format. Instead, select the entire Sheet1 worksheet by clicking the diagonal down arrow 1 (left of column A) and simply position the mouse over the column line in the column headers, between any two columns so the cursor becomes a double headed arrow 2 and double-click so all columns will AutoFit at the same time. Create a blank new access database file on your PC (C:\ drive) named 18PR_access_LastFirst.accdb, where LastFirst is your actual Lastname and Firstname (For example, if your name is Mary Smith, you will name the file 18PR_access_SmithMary) Points 1 Close the default Table1 that gets created in the above new database file to delete it. (Hint: You can click here to close the table. This will delete the table. You can also right-click on the Table1 table name and choose Delete). 51. 1 Create a new table using the Table Design button. (Hint: On the Create tab, In the Tables group, select Table Design. Create a simple query The query should be based on the Spokespeople table For example, once the Simple Query Wizard dialog box opens, MAKE sure and change the table under Tables/Queries to: Table: Spokespeople Include the following fields in this order: Firstname, Lastname, Career, Gender Save the title of the query as Music AND Female Query and click Finish. Switch to Design View and set the Criteria to select only those records with whose Career is in Music AND whose Gender is a F (Female). The Gender field should not appear in the query results (i.e., make sure the Show check box is not checked for the Gender field). Run, Save and Close the query. (Refer to the image below for Music AND Female Query Design View results) 2 (Refer to the image below for Music AND Female Query Datasheet View results) Using the Query Wizard, create another simple query: 63. a. b. c. d. The query should be based on the Spokespeople table. Include the following fields in this order: Firstname, Lastname, Career Save the query as Acting OR Music Query. In Design view, set the Criteria to select those records with whose Career is in Acting OR Music: Page 17 of 20 2 Steps Part 4 – ACCESS Project Instructions Points i) Type “Acting on Criteria line under Career, and then ii) Type “Music” right below it on the or: line. Run, Save and Close the query. (Refer to the image below for Acting OR Music Query Datasheet View results) Create another simple query based on both the Spokespeople table and Products table. 64. a. Start by basing the query on the Spokespeople table. i) Include the Career field from the Spokespeople table. b. In the same window, change the table name under the Tables/Queries field to the Products table. i) Include UnitPrice and UnitCost fields from the Products table. ii) Note: Three fields should now be displayed in the right-most box, under Selected Fields: Career, UnitPrice and UnitCost c. Choose Detail query, and then save the title of the query as Totals Query. d. Switch to Design view of the query and click the Totals button, located on the Design tab, in the Show/Hide group. i) Make sure that the Career field is set to Group By in the Total row. ii) Set the Unit Price field to Sum in the Total row, iii) and set the Unit Cost field to Avg in the Total row. e. Run the query. f. Resize the fields to show all of the contents (headings/data). Save and Close the query. 2 (Refer to the image below for Totals Query result) Using the Report Wizard, create a new report based on the Spokespeople table. 65. a. b. c. d. Landscape orientation, f. and check to box to adjust field width so that they fit on one page. g. Save the title of the report as Spokespeople Report and then click Finish. Close the Print Preview mode and then switch to Layout View, if so desired (it’s easier than Design View). a. Change the title of the report to Your Name Spokespeople Report (Where Your Name is your actual Firstname Lastname, ex: Mary Smith Spokespeople Report). b. Also, change the report title’s font to Tahoma, c. font color to Purple and d. font size to 28. Save and Close the report. (Refer to the image below for Spokespeople Report created) 66. 67. 1 Using the Form Wizard, create a new form based on the Products table. Include all fields from Products table. Use Columnar layout. Save the title of the form as Products Form and then click Finish. 1 With the Products Form opened add a new record with the following data (make sure to enter your actual Fullname for ProductName): 68. 1 Save and Close the Products Form. (Refer to the image below for Products table sorted) 69. 1 You are almost finished!! You have two more steps: 70. a. In Backstage View, Compact and Repair Database, and then 0 b. Close the database and exit out of Access.
